Sales Tax Items

Introduction

Path: Admin > Finance > Sales Tax Items

A sales tax item is a tax that is levied during a sale of product or service. A sales tax item can also be charged directly to the invoice. The Sales Tax Items page maintains a list of sales tax items. Once you create a sales tax item with this page, it will appear under:

  • CRM > Accounts > New > Save (after basic information) Tax Settings tab > Tax Items dropdown.

  • CRM > Quotations > Quotes > New > Save (after basic information) > Line Items section > Quote Summary subsection > Tax box.

  • Finance > Invoices > Edit Invoice > Tax Item dropdown

You can see existing sale tax items in the Sales Tax Items page. This page is also called Sales Tax Items listing page.

Searching for a sales tax item

You can search for a sales tax item using one or more of the following search criteria:

  • Name

  • Tax Agency

  • Tax Group

  1. Navigate to Admin > Finance > Sales Tax Items. The Sales Tax Items page opens.

  2. Name: Enter the name of the sales tax item that you wish to search for.

  3. Tax Agency: Enter the name of the account classified as a vendor.

  4. Tax Group: Select Check All to select all options under Tax Group or select Yes or No depending on your choice.

  5. Click Search. The search results are displayed. To clear the search results, click Clear Search.

Creating a sales tax item

You can create a sales tax item with or without a tax group. Depending on the option you select, certain fields will appear and some will disappear.

  1. Navigate to Admin > Finance > Sales Tax Items. The Sales Tax Items page opens.

  2. Click New. The New Sales Tax Item page opens.

  3. Name: Enter an appropriate name for the sales tax item.

  4. Tax Rate: Enter an appropriate number for the rate of tax.

  5. Tax Agency: Select the appropriate tax agency from the dropdown. Tax agency refers to the name of the appropriate account classified as a vendor.

  6. Tax Group: By default No is selected. If you want to create a tax group, select Yes.

    NOTE  The moment you select Yes, the Tax Rate and Tax Agency fields disappear and a new field called Group Rate appears which is non-editable. Irrespective of what you select, either Yes or No, you will not be able to change the option later. You will also see a new section called Group Tax Items opening below. However, you will see that the Add and Delete buttons under Group Tax Items and on the top are deactivated. These will become active only when you save the details after entering the description.

  7. Description: Enter a brief description for the sales tax item.

  8. Click Save.

    The sales tax item is saved until this point. You will see that the Add and Delete buttons under the Group Tax Items section are now active along with the Delete and Refresh buttons on the top.

  9. Click Add. Search and select the sales tax items (by clicking the relevant checkboxes) that you want to add to the group.

    NOTE  Only those sales tax items that were created without a tax group will appear in the grid.


  10. Click OK.

    NOTE  At this point, you can delete a group tax item or all the group tax items at once. See Deleting a group tax item below.

  11. Click Save once again. This will save all the details entered and/or selected so far. To add another sales tax item right after this, click Save and Add New. To cancel everything that you have entered and/or selected so far, click Cancel. Clicking Cancel will take you to the Sales Tax Items listing page. To refresh the page, click Refresh on the top. The Refresh and Delete buttons will become active only after you save the sales tax item.

Editing a sales tax item

  1. Navigate to Admin > Finance > Sales Tax Items. The Sales Tax Items page opens.

  2. Click the sales tax item that you want to edit. The Sales Tax Items page opens in edit mode.

  3. Make changes wherever you want.

    NOTE  Group Rate and Tax Group fields are not editable.

  4. Click Save. To add another sales tax item right after this, click Save and Add New. To cancel everything that you have entered and/or selected so far, click Cancel. Clicking Cancel will take you to the Sales Tax Items listing page. To refresh the page, click Refresh on the top.

Deleting a sales tax item

  1. Navigate to Admin > Finance > Sales Tax Items. The Sales Tax Items page opens.

  2. Click the sales tax item that you want to delete. The Sales Tax Items page opens in edit mode.

  3. Click Delete on the top. BMS asks for confirmation.

    NOTE  When you click Delete on the top, the entire sales tax item is deleted including the Group Tax Items section. If you want to delete only the group tax items, see the immediate section below.

  4. Click Yes. The sales tax item is deleted.

Deleting a group tax item

  1. Navigate to Admin > Finance > Sales Tax Items. The Sales Tax Items page opens.

  2. Click the sales tax item that you want to delete. The Sales Tax Items page opens in edit mode.

  3. Navigate to the Group Tax Items section below and click the relevant checkboxes of group tax items that you want to delete.

  4. Click Delete just below the Group Tax Items section name. The selected group tax items are deleted. If you want to delete the entire group of group tax items at once, click the checkbox next to the column heading Tax Item, and then click Delete just below the Group Tax Items section name.

Saving a customized view

The grid that you see beyond the search area shows the default view; however, you can customize a view and save it. You can then click the saved view and the grid will show the customized view with selected columns.

  1. Navigate to Admin > Finance > Sales Tax Items. The Sales Tax Items page opens.

  2. Click the Column Chooser (open book) icon which is next to the settings icon. The Column Chooser window opens.

  3. By default, all columns under the Available Columns section can be moved to the Displayed Columns section. If you want to move the Available Columns one by one to the Displayed Columns, click the single right arrow or just slide them to the right. If you want to move all Available Columns to the Displayed Columns at once, click the right double arrow. You can click the left arrows and move the columns vice versa as well.

  4. Click Save. The rearranged columns now appears in the grid.

  5. Click the sprocket (settings) icon and then click Save As.

  6. Enter a name for your customized view.

  7. Public: Click Yes or No according to your choice. If you select Yes, the view will be made public. If you select No, the view will be made private.

  8. Default: Click Yes or No according to your choice. If you select Yes, the view will be made the default view. If you select No, the view will not be made the default view.

  9. Click Save. You will now see that the name of the view has been added to the Views dropdown.

Sharing a customized view

You can share your custom view with others. Once you create a custom view, other options will appear as dropdown in the settings icon.

  1. Navigate to Admin > Finance > Sales Tax Items. The Sales Tax Items page opens.

  2. Select the view from the view dropdown.

  3. Click Share. The Share View window opens. You will see two tabs - Queues and Employees. The Queues tab is open by default. You can use one of the tabs or both the tabs.

  4. Queue: Select a queue from the dropdown and click Add. The queue is added to the list below.

  5. Click to select the relevant checkboxes.

  6. Click Save.

  7. If you wish to share the view with certain employees, go to the Employee tab.

  8. Employee: Enter the first few letters of the employee. The employee name appears.

  9. Click Add. The employee name is added to the list below.

  10. Click to select the relevant checkboxes.

  11. Click Save. The customized view is shared with the selected employee. To cancel everything that you have entered and/or selected so far, click Cancel. Clicking Cancel will take you to the Sales Tax Items listing page.

Exporting the grid

You can export the grid as an Excel file. The grid might contain several pages in some cases depending on the number of sales tax items that you have created. You can export the current page or all the pages together as an Excel file.

  1. Navigate to Admin > Finance > Sales Tax Items. The Sales Tax Items page opens.

  2. Click Export > Current Page or All Pages.

  3. In the Save As window, enter an appropriate file name.

  4. Click Save. You will see a downloaded Excel file at the top right corner of your browser. This file contains tabular data from the grid.
